Delivery is more than receiving a download link. Define finished videos, subtitles, photographs, source footage and project files separately, then confirm versions, usage scope, retention and future changes.
List distinct deliverables
A finished film is a playable output; source footage records the shoot; an editing project may depend on fonts, plugins, music and linked assets. These are not interchangeable and should not all be assumed included. Photography likewise needs separate decisions about selections, retouched images and originals, with formats, quantities and timing recorded.
Identify the purpose of each version
Record language, ratio, duration, subtitle type and revision so website, social, presentation and internal uses map to specific files. Adopt consistent naming instead of variations of “final version”. Open each delivered file type and verify that picture, sound and subtitles match the intended output.
Discuss use through concrete scenarios
Describe platforms, duration, territories, advertising, partner distribution and re-editing, then record the agreed arrangement. People, music, fonts, stock media and locations may involve separate conditions. This is a communication checklist, not a determination of copyright ownership or an assumption that payment alone covers every future use.
Verify downloads and keep a backup
Check link expiry, download completeness and who holds the approved master. Back up the delivery list and final files appropriately instead of treating a temporary transfer link as permanent storage. Agree on source-material retention, any archival service and the process for retrieving files later.
Revisit scope when a new use appears
For a vertical edit, English version, new logo or partner use, compare the request against the original delivery list and agreement. Determine whether it requires a new export, re-edit, additional material or revised usage arrangements. Version records provide a clear starting point and reduce the chance of circulating obsolete files.
A quick commissioning checklist
- Are finished media, subtitles, sources and project files listed separately?
- Are channels, duration, partners and re-editing needs explicit?
- Who backs up approved versions and how long are links and sources retained?
