Capture, platform hosting, content updates and usage scope are separate parts of a tour project. Document who handles each one, for how long and with which deliverables before comparing the total cost.

Separate production from ongoing service

Capture, processing and initial launch form one stage. Continued availability may depend on a platform subscription, space allocation or other ongoing services. Ask for separate production and recurring-service lines rather than relying on the word “buyout”. A one-time payment does not establish perpetual hosting unless that arrangement is clearly documented.

Clarify account control

Identify the account that holds the scene, who can edit it and who receives renewal notices. Establish an exit procedure. If transfers are available, check eligibility, fees and retained features. Access to a share URL, administrative control and downloadable files are distinct deliverables and should be listed separately.

Define different kinds of updates

Changing a label or link, reworking an existing scene and capturing a renovated area require different effort. List likely changes such as menus, branding or room layouts. Agree on what the client can edit and what requires additional work. An editable label does not mean the captured physical environment updates automatically.

List files and intended uses

Specify formats, versions and purposes for any panoramas, meshes, point clouds or other files you need. Confirm availability and additional charges. Website display, advertising, third-party distribution and game development may require different arrangements. Record the agreed scope in writing and seek qualified advice when a contractual dispute needs resolution.

Plan expiry and handover

Agree on renewal reminders, who makes the renewal decision, what the website shows after suspension and how long delivered material is retained. Keep approved copy, URLs and delivery records for the next maintainer. These are planning questions, not fixed service terms; the project agreement and current platform conditions determine the actual arrangement.
